Pre-meeting briefings
What a briefing contains, where its information comes from, when Revial prepares one automatically, and how to generate or correct one yourself.
A briefing is a one-page preparation sheet for an upcoming customer meeting. It collects what's known about the company, what has happened with them before, and what you might want to ask and expect — so you walk in prepared without doing the research yourself.
Briefings are included from the Pro plan upwards. See Plans.
What a briefing contains
| Section | What it gives you |
|---|---|
| Meeting banner | How many times your organisation has met this customer in the past 12 months, and whether they're a new prospect, an existing customer with a new project, or a re-engagement. |
| Company Overview | For a first meeting, who the company is. For a follow-up, where things stand and what has changed since last time. |
| Company Insights | 4–6 notable findings about the company. |
| Suggested Approach | How to run this particular conversation. |
| Key Discussion Points | 6–8 topics worth covering. |
| Potential Objections | 4–6 likely objections, each with a suggested response. |
| Competitive Advantages | 5–7 reasons your offering fits this customer. |
| Discovery Questions | 3–5 questions, each with why it's worth asking. |
Finnish companies also get a company data card with registry details.
Ask the Briefing lets you chat with the briefing — for example "What's my best conversation opener?" or "Draft a pre-call email".
Briefings are generated by AI. Check important facts before relying on them in front of a customer.
Where the information comes from
- Public web research — the company's website, news and media coverage, its competitive landscape and technology stack.
- Your earlier meetings with the same customer in Revial, going back up to two years, including a summary of the most recent one.
- Your CRM, if connected — deals, contacts, notes, activities and deal stage.
- Your email, if connected — up to 5 recent relevant messages with the customer.
- Documents attached to the meeting or linked to the playbook, and your knowledge base where your plan includes it.
- Your playbook — its questions, tone of voice and "never say" guidelines. See content templates.
Customer-success meetings are prepared from your CRM and earlier meetings only, without web research.
When briefings are created automatically
With a connected Google or Outlook calendar, Revial prepares a briefing for each upcoming customer meeting — by default 24 hours before it starts.
A meeting gets no automatic briefing when:
- every attendee is internal (from your own company domain or your internal address list) — even if your organisation records internal meetings
- it is cancelled, has no other attendees, or is excluded by your keywords
- Revial can't work out which company the meeting is with
No calendar connected? Invite the notetaker email address to the meeting and a briefing is prepared the same way.
Finding your briefings
- Briefings in the sidebar lists all briefings. Use Show only mine to filter to your own meetings.
- On Meetings → Upcoming, a meeting card shows Briefing Scheduled, Generating Briefing... or Briefing Ready.
- A meeting page has View Briefing.
- If Briefing Email Notifications is on, you get an email with a link when an automatic briefing is ready. Check your spam folder the first time and mark it as not spam.
Generating a briefing yourself
- For a calendar meeting: go to Meetings → Upcoming and select Generate Briefing Now on the meeting card. Choose a playbook first.
- For a meeting that isn't in your calendar: on Home, select New Briefing and enter the company and CRM details.
Briefings you generate yourself appear in the app when ready. They don't send a notification email.
Fixing a briefing
- Wrong company? Select Wrong company? Describe it, say which company the meeting is really with, and the research runs again.
- Wrong playbook? Select Change Playbook, pick another, then Change & Regenerate.
- Wrong relationship stage? Use Did Revial get it wrong? Correct me! in the banner.
If the content still looks wrong, see the content is wrong.
Settings
Under Profile → Calendar Settings → Meeting Automation:
| Setting | What it does |
|---|---|
| Enable Automation | Turns automatic briefings (and notetaker joins) on or off. |
| Generate Briefing | How many hours before the meeting the briefing is prepared. |
| Briefing Email Notifications | Email when an automatic briefing is ready. |
| Default Playbook | The playbook briefings are prepared with. |
| Include / Exclude Keywords | Which meetings automation applies to, by title or description. |
Organisation admins set defaults for all of these under Meeting Automation Defaults, and some can be locked. When the organisation sets a briefing time, it overrides yours; briefing emails are only sent if they're on at both the organisation and your own level. See settings precedence.
Language. Briefings are written in your Language for generated content profile setting. If it isn't set, your interface language is used.
